The Jotform steps work with what your forms have collected: find the submissions since a date, read one in full, or change its answers — to fill in an Order number once the order exists, say.

Who can do this

Workspace Admins and Editors, on every plan.

Before you start

A Jotform connection in this workspace. See Connect Jotform. Update a submission needs a Full Access key.

The steps

Step What it does
Find submissions Finds a form's submissions, since a date and matching an answer you give.
Find submissions Finds a form's submissions, newest first, since a date and with an answer you give.
Get a submission Reads one submission, with its uploads as files.
Update a submission Changes the answers you choose on one submission.
Update a submission Changes the answers you name on one submission. It is marked Changes data.

Steps

  1. Select +, then in Apps select Jotform, or search Jotform.
  2. Choose the step — for example Update a submission.
  3. Choose the Connection.
  4. Fill in the step:
    • Form — chosen from your forms.
    • Find submissions — optional Since, and a question with the answer it must have — Status equals New.
    • Find submissions — the Form, chosen from your forms; optional Since (a date, or a date and time; with no time zone, UTC); optional Question and the Answer it must have — Status and New; and Most submissions (100 to begin with, up to 1,000).
    • Get a submission, Update a submission — the Submission id, usually {{ trigger.id }}.
    • Update a submission — a row for each question to change, with its new answer. Questions you leave out keep their answers.
    • Update a submission — in Answers, a row for each question to change, with its new answer — status and Handled. Name the question by its key, its wording or its id; a name's or address's part as full_name.first or delivery_address.city. Questions you leave out keep their answers.
  5. Select Run this step, then check Output. A test of Update a submission changes it.

Output

Step What comes back
Find submissions count, submissions and first, and note when more than 1,000 matched. Each submission has the trigger's names: each answer by its question, id, formId, submittedAt, respondent and answers.
Get a submission The submission, with the same names, its uploads as files, and found — true or false.
Find submissions count, submissions and first, found false when nothing matched, and note when results were cut. Each submission has the trigger's names: each answer by its question, id, formId, formName, submittedAt, respondent and answers.
Get a submission The submission, with the same names, its uploads as files, and found — true, or false with just the id.
Update a submission The submission as it now is, and updatedAt.

Good to know

  • Find submissions keeps up to 1,000. When there were more, note on the Output says so; narrow it with Since or an answer.
  • Find submissions keeps up to the number in Most submissions — 1,000 at most. When more matched, note says Only the first 1,000 submissions are kept. (with your number); narrow it with Since or an answer.
  • An answer is matched whole, with any capitals. For a question with several choices ticked, any one of them matches. A name or address matches its parts read together — Rohan Mehta — or one part, with Question as full_name.first.
  • Looking for an answer reads up to the newest 10,000 submissions. When the form has more, note says Only the newest 10,000 submissions were searched.
  • Steps name answers from the questions' wording as it is now. A key the trigger keeps fixed after a question is reworded follows the new wording in these steps.
  • Runs once per item. Ten items run the step ten times.

If something goes wrong
