This walks through one complete workflow: every weekday at 09:00, Bizomate sends your team an email. It needs no connection, so you can build it in a few minutes and see every part of Bizomate working — the designer, a test run, publishing and the run log.

Who can do this

  • Workspace role: Admin or Editor. Viewers can open workflows but not change them.
  • Plan: every plan. Free allows 5 workflows switched on at once.

Steps

Create the workflow

  1. Select Workflows in the top bar.
  2. Select + New workflow. (With no workflows yet, the button is in the middle of the page.)
  3. The designer opens on a workflow called Untitled workflow, with its name ready to edit — "Enter saves · Esc cancels". Type Weekday reminder and press Enter.

Pick the trigger

  1. The canvas asks How should this workflow start? Under Pick a trigger, select On a schedule.
  2. A Schedule step appears on the canvas. Select it to open its settings.
  3. In How often, keep Weekdays. In At, keep 09:00 or choose another time. Times are in your own time zone.

Add a step

  1. Below the Schedule step, select the + labelled Add a step.
  2. In Search steps, type email, then choose Send an email — "Sends an email from Bizomate. No connection needed".
  3. Select the new step and fill in its settings:
    • To — team@consulace.com. Separate several addresses with commas.
    • Subject — Morning check-in
    • Message — Post today's priorities in the channel by 10:00.

The label at the top says Draft · autosaved just now. The designer saves as you go.

Test it

  1. Select Test run at the top right. The message Test run started says "Follow it on the canvas. Its steps really run."
  2. Each step lights up as it runs. When it finishes, a box at the bottom right says Test run finished — "2 steps ran in …". The email really goes to the address you entered.
    • If a step fails, the box says Test run stopped at step 2 with the reason. Fix the setting and test again.

Publish it

  1. Select Publish. The button shows Checking.
    • If something still needs setting up, the designer lists it and marks the steps. Fix them and select Publish again.
  2. A box opens: Publish v1 — "v1 goes live straight away." In What changed? · optional, you can type a short note, up to 120 characters.
  3. Select Publish v1.

The message Published as v1 says "It runs from its next trigger. Keep editing — changes stay in the draft until you publish again." The header shows Live v1.

Watch it run

  1. Select the back arrow to return to Workflows. Your workflow shows RUNNING and its switch is on.
  2. After 09:00 on the next weekday, its Last run shows when it ran. Select it, or Runs in the top bar, to see what each step received and did.

What happens next

  • A new workflow is switched on, so its first publish starts it running. Use the switch on the Workflows list to stop it — "It will not run until you switch it on again. Nothing was unpublished."
  • Further edits stay in the draft. The live version keeps running until you publish again, as v2.
  • Each run counts towards the company's monthly allowance. Test runs do not.

Good to know

  • Instead of a blank workflow, you can Start from a template — a workflow built and tested already. It arrives as a draft.
  • To try a workflow without waiting for its trigger, use Run the live version now in the designer's ⋯ menu once it is published.
  • A workspace has 50 test runs a day on Free and 500 on a paid plan. A test stops after five minutes.

If something goes wrong

What you see Why What to do
Test run is greyed out The workflow has no trigger yet, a test is already running, or today's test runs are used. Add a trigger, or wait for the running test. Test runs come back at midnight.
You have used today's 50 test runs. They come back at midnight. The workspace's daily test runs are used. Wait until midnight, or publish and use Run the live version now.
Not published — "…" needs a paid plan. Change the plan, or remove it and publish the rest. A step you added is on paid plans only. Send an email is on every plan. Remove the paid step, or ask the owner to change the plan.
Published as v1 — It is switched off: the plan's running limit is reached. Switch another off on the Workflows list to run this one. The plan allows only so many workflows switched on at once (5 on Free). Switch another workflow off, then switch this one on.
Could not create the workflow The plan's limit on workflows is reached, or something failed. Read the reason in the message.
