Outlook Calendar · Find free time — Times when everyone is free, one item each — looks at several people's calendars and gives the slots when all of them are free.
Who can do this
Workspace Admins and Editors, on every plan.
Before you start
A Microsoft 365 connection allowed to Read and write calendars, in the same organisation as the people whose calendars it reads.
Steps
- Select +, then in Apps select Outlook Calendar, then Find free time.
- Choose the Connection.
- In Who, the addresses — Everyone who must be free — you are included. Separate several with commas.
- Under For how long, choose from 15 minutes to 8 hours. It starts on 1 hour.
- Optional: in From, when to start looking — Empty starts now.
- In Look ahead (days), how far — it starts at 5. Up to 31.
- Choose Only working hours — on by default: Weekdays, 09:00 to 18:00 in the time zone below.
- In Time zone, the zone the times are in.
- In Suggest at most, how many slots — it starts at 10. Up to 50.
Output
One item per free slot, earliest first:
| Field | What it is |
|---|---|
start |
When it starts, in the step's time zone. |
end |
When it ends. |
timeZone |
The time zone. |
To book the first, put Create an event after it with Starts set to {{ $json.start }} — and a Filter or Code step if only the first should be booked.
Good to know
- The connected account is always one of those who must be free.
- Slots start on the quarter hour and never overlap.
- No free time gives no items.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Outlook could not read asha@northwind.example's calendar: … | The account cannot see that person's free/busy. | Check the address, and that they are in the same organisation. |
| Who is empty when the step ran — … | No addresses reached the step. | Fill in Who. |
