Steps are what a workflow does, in order. You add each one where it should run — after the trigger, between two steps, or on one path of a condition — and the canvas makes room for it.

Who can do this

Workspace Admins and Editors. Viewers see no + on the canvas.

Before you start

The workflow needs a trigger first. On an empty workflow, choose how it starts — see Create a workflow.

Steps

  1. Open the workflow in the designer.

  2. Choose where the step goes:

    • At the end: select + under the last step (Add a step).
    • Between two steps: hover over the line between them and select the + in its middle.
    • On a condition's path: select + under Yes, No or a path's name. An empty path reads This path has no steps yet.
    • Inside a loop: select + under Once per item (Add the steps to repeat).
    • From the keyboard: select a step and press /.

    The step picker opens beside the +, titled Add a step.

  3. Find the step:

    • Type in Search steps — by its name, what it does, or the app (Sheets, email, Teams).
    • Or choose a tab: Apps, AI, Logic, Data, Timing, Code. Recent at the top lists the last three steps you added.
  4. Select the step.

    • An app with several actions — Outlook, Google Sheets — opens onto its list of Actions. Select one. The back arrow returns to every step.

    The step appears in place with its settings open on the right. What used to come after it now comes after the new step.

  5. Fill in its settings. Anything marked Needs setup on the card still needs a value. See Step settings, input and output.

What happens next

  • The step is saved to the draft at once. It does not run until you test or publish.
  • If the workspace has exactly one working connection for the step's app, the step is given it. Otherwise choose one in Connection.
  • A condition added between two steps keeps what followed on its first way out — Yes for IF, the first path for Switch.
  • A loop added between two steps keeps what followed on Done.
  • Steps that use a time zone start in yours.

Good to know

  • Paid steps stay in the list, marked Paid plans: Code, HubSpot and Microsoft SQL. You can set them up and test them now; publishing asks for a paid plan.
  • Merge is offered only at the end of a condition's paths, where at least two paths are still open.
  • Respond to Webhook is offered only while the Webhook trigger's Respond is set to Using a Respond to Webhook step.
  • Plans limit steps per workflow: 20 on Free and 250 on Starter, with no limit on Pro and Enterprise. The trigger does not count.
  • Not in the list? HTTP Request reaches most services with an API. See Call a web address with HTTP Request.

If something goes wrong
