A Google Workspace connection lets workflows send Gmail, use your Google calendars and work with the Google Sheets you choose, as the account that signed in. You sign in with Google; Bizomate never sees your password.

Who can do this

Workspace Admins and Editors, on any plan — Google Workspace is not a premium connection.

On Google's side, any Google account can connect: a Google Workspace account from your organisation, or a personal Google account. If your organisation's Google admin restricts which outside apps may be used, they may need to allow Bizomate first.

Steps

  1. Select Connections in the bar at the top.
  2. Select + Add connection.
  3. Under Productivity, select Google Workspace. It reads "Sign in to authorise".
  4. In Connection name, type a name — for example Consulace Google.
  5. Select Sign in with Google Workspace. The button reads Opening, and Google's sign-in page opens in the same tab.
  6. Choose your Google account — for example rohan@consulace.com — or sign in.
  7. Google lists what Bizomate asks for. Tick anything it offers to tick, then select Continue (or Allow).

You come back to Connections with the toast "Connection added" — "Every workflow in this workspace can use it now."

What happens next

  • The connection's panel shows the account and What Google allows.
  • Steps for Gmail, Google Calendar and Google Sheets list it under Connection.
  • Bizomate renews the sign-in by itself. If Google refuses to renew it, the connection reads Needs reconnecting and the workspace's Admins and Editors are told.

Good to know

  • What it is asked for. At first only who you are (Your profile), plus what the steps already in the workspace use. A step added later that needs more asks you to Reconnect — see Allowing a step more permissions. Google shows its permission screen every time you sign in, and keeps what you allowed before.

  • The steps it works with today:

    • Gmail — Send an email.
    • Google Calendar — the trigger New or updated event; Create an event, Update an event, Delete an event, Get an event, List events, Find free time.
    • Google Sheets — the trigger New row; Add a row, Get rows, Find a row, Update a row, Delete a row, Create a sheet.
  • Only the files you pick. In a Sheets step, select Choose beside Spreadsheet and pick the file in Google's own picker. Bizomate can open only the files picked this way — "Chosen with Google's picker — Bizomate sees only the files you pick." The permission reads Files you pick.

  • While Google reviews Bizomate. Google checks apps that ask for Gmail, Calendar and Sheets permissions, and Bizomate has not yet completed that check. Until it has, three things are true:

    • Only accounts Bizomate has added as testers can sign in. Any other Google account sees "Access blocked" or "This app is blocked". To connect Google now, raise a ticket under Connections with the Google address you want to use, and we add it as a tester.
    • Google shows a warning that it has not verified the app. Select Continue to carry on.
    • A sign-in stops being renewed after seven days. The connection then shows "Google Workspace stops renewing this sign-in on …" and needs Reconnect.

    This article will change when Google's check is complete.

  • Test in the connection's panel answers "Connected as Rohan Mehta (rohan@consulace.com)".

If your organisation's Google admin restricts apps

The Google Workspace admin allows Bizomate in the Google Admin console:

  1. Sign in to admin.google.com as an admin.
  2. Go to Security, then Access and data control, then API controls.
  3. Select Manage Third-Party App Access.
  4. Select Configure new app (or find Bizomate in the list if someone has already tried to connect), search for the app by the name shown on Google's sign-in screen, and choose it.
  5. Choose who it applies to, set it to Trusted (or Limited, if that is enough for your steps), and save.

If something goes wrong

What you see Why What to do
Google says access is blocked by your organisation Your Google admin restricts outside apps. Ask them to allow Bizomate as above.
Not connected — "You cancelled the connection." Cancel was chosen on Google's page, or it was closed. Start again.
Not connected — "Google Workspace refused the connection. Try again." Google would not complete the sign-in. Start again.
Not connected — "That connection attempt expired. Start again." More than 10 minutes on Google's page. Start again.
"Google returned 401. The sign-in may have been withdrawn — reconnect it." (on Test) Access was removed in the Google account, or the sign-in ended. Reconnect it.
Google's picker would not open — "Google's file picker is not set up on this server yet." Choosing files is not available yet. Try again later, or use a value from an earlier step.
Google's picker would not open — "Something went wrong opening Google's picker. Try again." The picker did not load. Try again; if it asks, Reconnect.
"Google would not list your calendars: the connection cannot see and change your calendars yet. Reconnect to allow it." The connection was made before a Calendar step asked for it. Select Reconnect.
