Google Calendar · New or updated event — When an event is created, changed or cancelled in a Google calendar — checks a calendar on a schedule. Each event that matches since the last check starts a run, with the event's details.

Before you start

A Google Workspace connection in this workspace that can see the calendar.

Steps

  1. Open the workflow in the designer and open the trigger picker — Browse all triggers, or Change how it starts on an existing trigger.
  2. Type Calendar in Search triggers, and select New or updated event.
  3. In Connection, choose your Google Workspace connection.
  4. In Calendar, choose one — Your calendars, and those shared with you that you can edit. Empty: your own calendar. Use a value lets you type a calendar's id instead.
  5. Under When, choose Created, Created or updated, or Cancelled.
  6. Optional: in Title contains, type words the title must contain — Only events whose title contains this. Empty takes every event. Capitals do not matter.
  7. Under Checks, choose Every 5 minutes or Every 15 minutes.
  8. Open the Output tab and select Fetch a sample. The newest matching event from the last 30 days comes in, and Test run starts with it.
  9. Add the steps, test, then Publish.

Before publishing, the trigger's Settings say Starts with what arrives after you publish — nothing already there sets it off.

What happens next

  • Only changes after publishing start runs.
  • Each matching event starts one run, with:

  • Up to 100 events start runs in one check; the rest wait for the next.
  • Runs name what started them — New event · Weekly review, Updated event · …, Cancelled event · ….
  • A check that finds nothing starts no run and costs nothing.

Good to know

  • Every 5 minutes is for paid plans. On Free it checks every 15 minutes whatever is chosen.
  • Created or updated includes new events too.
  • A repeating event counts each time it is changed.
  • Runs start in Production and count in the month's allowance.

If something goes wrong

What you see Why What to do
Nothing matches yet — add one, then fetch again. No event in the last 30 days matches. Create a matching event, then fetch again.
Not checking since 10:45 with Google Calendar refused the check: … Google stopped accepting the connection, or it cannot see the calendar. Select Reconnect, then Check now. See When an app trigger stops checking.
Could not load the calendars The calendar list would not load. Select Try again, or Reconnect if offered. What you set here is kept.
New or updated event is not in the trigger picker App triggers only appear when you search. Type Calendar in Search triggers.
