Two Outlook steps act on an email that is already in the connected mailbox: Reply to an email — Answers the email that started the run — and Forward an email — Sends an email on, with a note above it. Both need the email's id, which an earlier Outlook step gives.

Who can do this

Workspace Admins and Editors, on every plan.

Before you start

  • A Microsoft 365 connection allowed to Read and send mail.
  • An earlier step that gives the email's id — Search emails or Get an email, as {{ steps.search_emails.id }}. See Find and read Outlook email.

Steps

Reply:

  1. Select +, then in Apps select Outlook, then Reply to an email.
  2. In Connection, choose your Microsoft 365 connection.
  3. In Email, put the email's id — The email to answer — usually the one that started the run.
  4. Under Answer, choose Reply (the default) or Reply all.
  5. In Message, type the reply — Added above the original message, as Outlook does.
  6. Optional: under Attachments, Add a file from an earlier step.

Forward:

  1. Select +, then Outlook, then Forward an email.
  2. Choose the Connection.
  3. In Email, put the email's id — The email to forward.
  4. In To, type the addresses — Separate several with commas.
  5. Optional: in Message, a note — Added above the forwarded email.
  6. Optional: Attachments — files from earlier steps, added to the forwarded email.

Output

Step Fields
Reply to an email replied (true), to (the email's id), all (true for Reply all), attachments (how many).
Forward an email forwarded (true), to (the addresses), attachments (how many).

Good to know

  • The reply and forward are saved in the mailbox's Sent Items, in the email's conversation.
  • Large attachments are taken one by one before sending, as for Send an email.
  • Runs once per item — one reply per email found.

If something goes wrong

What you see Why What to do
Email is empty when the step ran — an earlier step may not have given the value it names. No email id reached the step. Check the step before gave an email.
Outlook refused: … Microsoft could not find the email, or refused the send. A moved email has a new id. Use the id the latest step gave — Move an email gives the new one.
Needs permission to read and send mail The connection lacks the permission. Select Reconnect.
