The Workflows page lists every workflow in the workspace you are in. Use it to find a workflow, see whether it is running, and open it in the designer.
Who can do this
Everyone in the workspace — Admins, Editors and Viewers. Viewers see the list but not + New workflow, Import, or the rename, move, copy and delete buttons on each row, and the on/off switch is greyed out for them.
Steps
- Select Workflows in the bar at the top of the page. Beside the heading you see how many there are — for example 7 workflows · 5 published.
- To find one by name, type in Search workflows. The list narrows as you type; capitals do not matter.
- To see one project's workflows, choose it in the project filter. It starts on All projects.
- Choose Ungrouped to see the workflows that are in no project.
- The project filter only appears once the workspace has at least one project.
- To see workflows in one state, choose it in Any state:
- Running — published and switched on.
- Switched off — published, but switched off.
- Never published — a draft that has never been published.
- Paused replaces Switched off after a paid plan or trial has ended. See Good to know.
- To change how the list is drawn, use the two buttons beside the filters: Table (rows) or Cards. Your choice is remembered.
- To open a workflow, select its name, or the workflow button in its row (Open in the designer).
If nothing fits your search and filters, the page says Nothing matches. Select Clear the filters to see everything again.
What each row shows
| Column | What it says |
|---|---|
| The switch | Whether the workflow runs. On is RUNNING. See Switch a workflow on or off. |
| Name | The workflow's name. Select it to open the designer. |
| Project | The project it is in, with the project's colour, or Ungrouped. |
| State | RUNNING, SWITCHED OFF, PAUSED or NEVER PUBLISHED. |
| Last run | How long ago it last ran — Just now, 9 minutes ago, Yesterday, or a date — with a dot coloured by how that run went. Select it to see that workflow's runs. Never run if it has not run. |
The buttons at the end of each row are Open in the designer, Export as a file, and — for Admins and Editors — Rename, Move to a project, Make a copy and Delete.
Under the list, Showing 1–20 of 34 says where you are; use the page numbers to see more. The line beside it is a reminder: The toggle controls whether a workflow runs. It does not publish it.
Good to know
- The list is the workspace you are in. To see another workspace's workflows, switch workspace first.
- Newest first. Workflows are listed by when they were made, newest at the top.
- After a plan ends. When a paid plan or trial ends, every workflow is paused. A banner at the top says so — for example Your Starter plan ended on 14 September, so every workflow was paused — and how many you can run at once on the Free plan, with a count such as 2 of 5 turned on. The company's Owner also sees Restart Starter. The banner goes once nothing is paused any more.
- Export at the top downloads every workflow in the workspace as one file — or, with a project chosen in the filter, every workflow in that project. See Export workflows to a file.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Nothing runs itself yet | The workspace has no workflows. | Admins and Editors can select + New workflow, Start from a template or Import from a file. Viewers see Nobody has made a workflow in this workspace yet. Admins and editors can. |
| Nothing matches | The search or a filter leaves nothing to show. | Select Clear the filters. |
| The switch is greyed out | The workflow has never been published, or you are a Viewer. | Hover over it: Publish it first — until then there is nothing to run, or Admins and editors switch workflows on and off. |
