A Form trigger's Fields are the questions on the form. Each has a label, a type, whether it must be answered, and — for some types — choices or limits. The preview beside the panel updates as you type.

Steps

Add a field:

  1. Select the Form trigger in the designer.
  2. Under Fields, select + Add a field. A new Text field opens, its label ready to type.
  3. In Label, type the question — for example Order number.
  4. Optional: in Help text, add a line shown under the field (up to 200 characters).
  5. Under Type, choose one. See the table below.
  6. Switch Required on or off. Optional fields show · optional on the form.
  7. For One of a list or Dropdown, type each choice under Choices; select + Add a choice for more.
  8. For Number, optionally set Smallest, Largest, and Whole numbers only.
  9. Select Done.

Change a field: select its row in Fields, change it, then Done.

Reorder fields or choices: drag them by the grip on the left.

Remove a field: open it and select Remove field. If a step reads its answer, Bizomate asks first — Remove “Order number”? The step Find the order uses it, and will need a new value before you can publish. — with Keep it and Remove field.

The types

Type What it is What the form checks
Text One line. At most 5,000 characters.
Email Checked for an @ and a domain. That it is a full address, like asha@northwind.example.
Number With a minimum and maximum if you set them. A number, whole if set, between your limits.
Date A date picker. A real date.
One of a list Buttons; pick one. One of your choices.
Dropdown A list; pick one — for long lists. One of your choices.
Long text Several lines. At most 5,000 characters.
File One file, up to 10 MB. PDF, JPG or PNG, up to 10 MB. It is kept with the run, in private storage, and goes when the run leaves the history.

What happens next

  • Each answer reaches the workflow by the field's key, made from its label — Order number is {{ trigger.order_number }}.
  • The key follows the label until a step uses it. After that, renaming the label keeps the key, so the step keeps working.
  • Changes reach the live form when you publish.

Good to know

  • Up to 50 choices, each different.
  • Switching between One of a list and Dropdown keeps the choices; other types drop them.
  • A new form starts with Your name (Text) and Email (Email), both required.

If something goes wrong

In the designer, before publishing:

What you see Why What to do
add a field — a form with none asks nothing. The form has no fields. Add one.
a field has no label. Give it one, or remove it. A field's Label is empty. Fill it in.
give “…” at least two choices. A list field has fewer than two choices. Add choices.
Each choice must be different. Two choices are the same, ignoring capitals. Change one.
“…” has more than 50 choices. Too many choices. Use fewer, or a Text field.
The smallest is more than the largest. Smallest is above Largest. Swap them.
two fields are called “…”. Rename one. Two fields share a label. Rename one.

What a visitor is told on the form:

Message Why
Enter order number. / Choose one. / Enter a date. / Choose a file. A required field was left empty.
That is not an email address. It needs an @, like asha@northwind.example. The email has no @.
That is not a full email address. It needs a part after the dot, like northwind.example. The email has no domain ending.
Enter a number. / Enter a whole number. / The least is 1. / The most is 10. The number is not one, or out of range.
That is longer than a form takes — 5,000 characters at most. Too long.
That file is 14 MB. The limit is 10 MB — send a smaller photo, or a PDF. The file is too large.
That is a .docx file. Send a PDF, JPG or PNG. / That file is not really a .pdf. Send a PDF, JPG or PNG. The file is not a PDF, JPG or PNG.
