Some keys and passwords only work until a date — a database password that must be changed every 90 days, an API key issued for a year. Give the connection that date and Bizomate reminds the workspace's admins before it runs out, instead of a workflow failing on the day.
Who can do this
Workspace Admins and Editors set the date. The reminders go to the workspace's Admins.
Before you start
The date is for keys and passwords: databases, AI keys and API keys for HTTP Request. A sign-in (Microsoft 365, Google Workspace) has no date to enter — when the service itself says when a sign-in ends, Bizomate shows that date for you.
Steps
When you add the connection:
- Select Connections, then + Add connection, and choose the service.
- Fill in its details as usual.
- In This key expires on · optional (for a database, This password expires on · optional), choose the date the service gave you.
- Select Save connection.
To change the date later on an API key connection for HTTP Request:
- Select the connection on Connections, then Edit in its panel.
- Change This key expires on, or clear it. "Change the date on its own — the key stays as it is."
- Select Save changes.
To set a new date with a new key or password, select Reconnect, Replace key or Replace password and fill in the date with the new credential.
What happens next
- Under the connection's status, the panel reads "Key expires 3 Oct · the date you entered" — or, with no date, "No expiry date · add one if the key has one".
- From 30 days before, the status turns amber — Expires in 12 days, then Expires tomorrow — and red on the day, Expires today. A Replace key or Replace password button appears in the panel.
- The workspace's Admins get a notification 30 days, 7 days and 1 day before, and on the day: "Orders database stops working on 3 October" — "Its password expires in 7 days. Replace it before then, or Daily sales summary fails." Only the latest one stays in the bell.
- The day after the date, the status reads Expired yesterday (then Expired 3 days ago), the panel says "Steps that use it fail until it is reconnected. 2 workflows use it.", and steps that use it fail with "“Orders database” expired on 3 October, the date entered for it. Replace it on Connections, or change the date if it still works."
Good to know
- The date you enter is the last day it works. It counts as expired from the next day.
- The date must be today or later.
- Replacing the key or password, or changing the date, clears the reminders.
- For a sign-in, a service may say when it stops renewing: "Google Workspace stops renewing this sign-in on 9 Oct". The admins are reminded the same way, and Reconnect sets a new date.
