The switch at the start of each row on the Workflows list turns a published workflow on or off. Off, its trigger no longer starts it; nothing is unpublished, and switching it back on runs the same live version.

Who can do this

Workspace Admins and Editors. Viewers see the switch greyed out: Admins and editors switch workflows on and off.

Before you start

The workflow must be published. Until it is, the switch is greyed out: Publish it first — until then there is nothing to run.

Steps

  1. Select Workflows in the bar at the top of the page.
  2. Find the workflow. Select the switch at the start of its row (or at the top right of its card).

Switching on, a toast says “…” is on — It runs from its next trigger, on the published version. The state becomes RUNNING.

Switching off: “…” is off — It will not run until you switch it on again. Nothing was unpublished. The state becomes SWITCHED OFF.

When the plan's limit is reached

Each plan runs a number of workflows at once — 5 on Free and 100 on Starter, with no limit on Pro and Enterprise. Switching on one more opens Switch one off first:

Your plan runs 5 workflows at a time, and that many are on. Choose one to switch off, and “…” takes its place.

  1. Beside the one to turn off, select Switch this off. It reads Switching while it works.

A toast says “…” is on — “…” is off in its place. It keeps its published version.

Or select Cancel. The company's Owner also sees See plans.

What happens next

  • Switched off: schedules pass without running it, its webhook answers 404, its form shows This form is not taking answers right now, and an app trigger stops starting runs.
  • Switched on: it runs from its next trigger. An app trigger that was paused by failing checks starts checking again at once.
  • Runs already started are not stopped by switching off. A queued run that has not begun yet is skipped with The workflow was switched off before this run started.

Good to know

  • Only published, switched-on workflows count towards the limit. Drafts never do.
  • After a paid plan or trial ends, every workflow is paused and shows PAUSED. You choose which to switch back on, within the Free allowance; Bizomate does not choose for you.
  • An app trigger that fails every check for an hour switches its workflow off by itself, and tells the workspace's Admins and Editors. See When an app trigger stops checking.
  • Run the live version now works while it is switched off.

If something goes wrong
