Add a row by hand when you want to put something into a list yourself — a setting a workflow reads, a customer to look up, a starting row before a workflow takes over.
Who can do this
Workspace Admins and Editors. Viewers do not see + Add row; the list tells them You can read this list, not change it.
Steps
- Select Lists in the bar at the top of the page, and select the list's name to open it.
- Select + Add row at the top right. A new row marked new appears at the top of the grid.
- Fill in each column:
- Text and Number columns: type the value. A number can be written 62400, 62400.50 or 62,400.50.
- True/false columns: select No to change it to Yes, and again to change it back.
- Date and time columns: select pick a date. Choose the day, type the hour and minute — or select Now — and select Set. Clear empties it.
- Columns marked * are Required.
- Select Add row under the new row. The button reads Adding while it saves.
- To give up, select Cancel.
A toast says Row added — Processed invoices now has 1,164 rows., and the row takes its place in the grid.
On a phone, the grid shows as cards: select + Add row under them, fill in the form headed New row, and select Add row.
What happens next
The row is there at once for everyone in the workspace, and for every workflow that reads the list. The list's Last changed on the Lists page shows your name and just now.
Good to know
- Dates and times are in your own time zone when you pick them — the picker says so — and are stored as the moment itself, so someone in another time zone sees the same moment in theirs.
- Leave a column empty if it is not Required. An empty cell shows —.
- A cell holds up to 32 KB, and a whole row up to 256 KB.
- Every row counts towards the company's plan: 1,000 rows on Free and 25,000 on Starter, across every list in every workspace; no limit on Pro and Enterprise.
- To add many rows at once, import a CSV. See Import a CSV into a list.
If something goes wrong
The problem shows under the cell it is about.
| What you see | Why | What to do |
|---|---|---|
| amount takes a number | The value is not a number — often a currency sign or a word. | Type the number only, such as 62400.50. |
| paid takes true or false | A True/false value that is not yes, no, true or false. | Use the Yes / No button. |
| due_on takes a date and time | A date that cannot be read. | Use pick a date. |
| customer is required | A Required column is empty. | Fill it in. |
| INV-20260814 is already in invoice_no | The unique column already has that value in another row. | Use a different value, or change the existing row instead. |
| That cell is over 32 KB. Nothing was saved. | The value is too long for one cell. | Shorten it, or keep the text elsewhere and put a link in the list. |
| That row is over 256 KB. Nothing was saved. | The row's values together are too big. | Shorten the longest values. |
| The list is full — writes have stopped. Your company is at 25,000 of 25,000 rows, so nothing was added. Steps that only read a list are unaffected. | The company's lists hold as many rows as the plan allows. | Delete rows you no longer need, or ask the Owner to move to a bigger plan. |
| Something went wrong, and nothing was saved. Try again. | The row could not be saved. | Try again. |
