When a step brings a file into a run — an email attachment, a OneDrive or SharePoint document, a file uploaded to a form — Bizomate keeps it with the run. You can download it from the run's page for as long as the run is kept.

Who can do this

Anyone who can see the run can download its files: Admin, Editor and Viewer in that workspace.

Steps

  1. Select Runs in the bar at the top of the page, and open the run. See Find a run in run history.
  2. Under Steps, select the step that brought the file in to open it.
  3. Find the box headed with the number of files, such as 1 file or 3 files, between Input and Output. Each file shows its name, then its size and type — 248 KB · application/pdf · kept with the run.
  4. Select Download beside the file.

The file saves to your computer under its own name.

What happens next

Nothing changes in the run. You can download the same file as many times as you need while the run is kept.

Good to know

  • Files are kept with the run and go with it. When newer runs replace a run in history, or its workflow is deleted, its files are deleted too. A file is only kept longer if something that stays still uses it — another run, or data pinned to a step. See How long runs and their files are kept.
  • The most a step can bring in is 250 MB per file. A bigger file stops the step with … is too large to pass between steps — the limit is 250 MB.
  • A step that handles files has 10 minutes to finish, rather than the usual 60 seconds.
  • Files are private. Only people signed in to that workspace can download them; there is no public link.

If something goes wrong

What you see Why What to do
The page says it cannot be found when you select Download The file is no longer kept — the run is being removed, or the file was deleted with an older run. Run the workflow again to bring the file in afresh, or get it from where it came from.
A step failed with … is too large to pass between steps — the limit is 250 MB. The file is over 250 MB. Make the file smaller at its source, or send a link to it instead of the file.
There is no files box on the step That step did not bring a file in; files show on the step that brought them, not on the steps after it. Open the earlier steps until you find it.
