Delete rows from a list

Delete rows you no longer need — to tidy a list, or to make room when your company's lists are full. Deleting always works, even when writes have stopped.

Who can do this

Workspace Admins and Editors. Viewers do not see the tick boxes.

Steps

1. Select Lists in the bar at the top of the page, and select the list's name to open it.
2. Find the rows. A filter helps in a long list. See Filter and sort a list's rows.
3. Tick the box at the start of each row you want to delete.
   • To select every row on this page, tick the box in the heading row. Tick it again to clear them.
4. A bar appears above the grid: 3 rows selected of 1,163. Select Delete rows.
   • Select Clear in the bar to untick them all instead.
5. A box asks Delete 3 rows? — They go for good. A workflow that looks one of them up afterwards finds nothing, and does whatever its step says to do when nothing is found. It lists the first six rows you chose.
6. Select Delete 3 rows. The button reads Deleting while it works.
   • To keep them, select Cancel.

A toast says 3 rows deleted — From Processed invoices.

What happens next

• The rows are gone at once, for everyone, and cannot be brought back.
• The company's row count goes down at once, so a full company can write again straight away.
• Runs that read or wrote those rows keep their record of what the rows held then.

Good to know

• Ticking selects rows on the page you are on. A long list has several pages; delete page by page, or narrow the list with a filter first so the rows you want are on one page.
• To keep a copy first, select Export CSV before you delete. With a filter set, the file holds the rows the filter shows. See Export a list as a CSV file.
