Change a value in a list by editing its cell, the way you would in a spreadsheet. Each cell saves on its own as soon as you finish with it.
Who can do this
Workspace Admins and Editors. Viewers can read every row but not change one.
Steps
- Select Lists in the bar at the top of the page, and select the list's name to open it.
- Find the row. To narrow a long list, use + Add condition in the filter bar. See Filter and sort a list's rows.
- Change the value:
- Text or Number: select the cell, type the new value, and press Enter. Selecting somewhere else saves it too. Escape puts the old value back.
- True/false: select Yes or No in the cell. It changes and saves at once.
- Date and time: select the cell. Choose the day, type the hour and minute or select Now, and select Set. Clear empties it.
- To empty a Text or Number cell, delete what is in it and press Enter.
A toast says Saved — amount on row 14.
On a phone, the grid shows as cards: select a row's card to open it, select Edit this row, change the values in the form, and select Save row. A toast says Row saved.
What happens next
The new value is there at once for everyone in the workspace, and for the next step that reads the list. The list's Last changed on the Lists page shows your name.
Runs that already read or wrote the row keep their own record of the value as it was then; changing the row does not change what a run says it did.
Good to know
- Rows are numbered in the order they were added; the toast uses that number.
- A unique value cannot repeat: changing the unique column to a value another row has is refused.
- Changing a row does not start a workflow. Lists are not triggers.
- Rows cannot be changed while lists are full. Once the company's lists hold as many rows as the plan allows, every write stops — adding and changing alike. Deleting rows still works, and makes room at once.
If something goes wrong
The problem shows under the cell, and nothing is saved.
