Deleting a list removes it and every row in it, for good. Bizomate will not let you delete a list that a running workflow needs, so nothing live breaks by accident.

Who can do this

Workspace Admins. Editors and Viewers do not see Delete list.

Before you start

Export the rows if you might want them again. See Export a list as a CSV file.

Steps

  1. Select Lists in the bar at the top of the page.
  2. Open the ⋮ menu at the end of the list's row and select Delete list. A box opens. What it says depends on who uses the list:
    • No workflow uses it: Delete Processed invoices? — Its 1,163 rows go with it and cannot be brought back. Export it first if you might want them.
    • Only drafts or switched-off workflows use it: Delete Processed invoices?, with Nothing running reads it, so no live workflow breaks. and the workflows that will read Needs setup, marked DRAFT or SWITCHED OFF.
    • A switched-on workflow reads it: Processed invoices cannot be deleted yet — see the table below.
  3. Optional: select Export it first to download the rows.
  4. Select Delete list. The button reads Deleting while it works.
    • To keep the list, select Cancel.

A toast says Processed invoices deleted — Its 1,163 rows went with it., and the list leaves the Lists page.

What happens next

  • The list and its rows are gone, and cannot be brought back.
  • The company's list and row counts go down at once, making room under the plan.
  • Workflows that used it — drafts and switched-off ones — read Needs setup on every step that used the list, and cannot be published until those steps point at another list. The step says The list is gone in its settings.
  • Runs that already used the list keep their record of what they found or changed.

Good to know

  • Switched-off workflows do not stop the delete, but if you switch one on again without fixing its steps, its next run fails at the first list step with The list is gone — Processed invoices is not in this workspace. It was deleted, or this workflow came from somewhere else.
  • A draft is listed too, because it would need the list the moment it is published.
  • To empty a list but keep it, delete its rows instead. See Delete rows from a list.

If something goes wrong

What you see Why What to do
Processed invoices cannot be deleted yet — A workflow that is switched on reads it. Deleting it now would make it fail on its next run, so nothing has been deleted. The live version of a switched-on workflow uses the list; it is marked RUNNING. Switch the running workflow off, or take the list out of its steps and publish it. Select Open Monthly close to go to it, then try again.
Nothing was deleted, with the same reason Someone switched a workflow on while the box was open. Close the box and deal with that workflow first.
Something went wrong — The list was not deleted. Try again. The delete could not be completed. Try again.
Delete list is not in the menu You are not a workspace Admin. Ask an Admin.
