Before you change a list's columns or delete it, check what depends on it. Used by lists every workflow in the workspace with a step that reads or writes the list.

Who can do this

Everyone in the workspace — Admin, Editor and Viewer.

Steps

  1. Select Lists in the bar at the top of the page. The Used by column says how many workflows use each list — 3 workflows, or None yet.
  2. To see which ones, open the list's ⋮ menu and select Used by — or open the list and select Used by at the top right.
  3. Read the table:
    • Workflow — its name, with RUNNING, SWITCHED OFF or DRAFT beside it.
    • Steps that read it — the names of its steps that find rows.
    • Steps that write to it — the names of its steps that add, change or delete rows, or reads only.
  4. Select Open on a row to open that workflow in the designer.
  5. Select Used by again to go back to the rows.

What happens next

Nothing changes; this is a view. It is what decides whether a list can be deleted: a list that the live version of a RUNNING workflow uses cannot be deleted until that workflow is switched off or no longer uses it.

Good to know

  • RUNNING means published and switched on; SWITCHED OFF means published but switched off; DRAFT means never published.
  • A draft counts, because it will need the list the moment it is published.
  • For a published workflow, the steps shown are the live version's. Changes in its draft that are not published yet do not count until they are.
  • Only workflows in this workspace can use a list, so only they are shown.
