Some steps bring files into a run: a form's File field, and Outlook · Get an attachment. A file travels with its item, and a later step that sends email can attach it. You use a file the same way you use any value — by dragging it in, or with {{ }}.

Workspace Admins and Editors.

Steps

  1. Run a test, so the file is on the step's output. On Input or Output, files are listed under the item's fields — name, size and type — with Download.
  2. Open the step that should send the file: Outlook · Send an email, Reply to an email, Forward an email, Create a draft, or Gmail · Send an email.
  3. Under Attachments, select Add a file. A row appears — Drag a file here, or type {{.
  4. Drag the file in from Data from earlier steps above the settings. Or type {{ and choose it. It shows as a chip.
  5. Add more rows for more files. Remove one with its cross.

Where files come from

Step The file
Form trigger, a File field On the item, under the field's key — {{ $json.receipt }} — one PDF, JPG or PNG up to 10 MB. ({{ trigger.receipt }} gives only its name and size, not the file.)
Outlook · Get an attachment {{ $json.file }} — one item per attachment, up to 250 MB each.

How a file behaves in a setting

  • In Attachments, a file chip is the whole file.
  • In a text setting, it gives the file's name.
  • Its details can be read on their own: {{ $json.file.name }}, {{ $json.file.size }} (in bytes), {{ $json.file.mimeType }}.

Good to know

  • Files travel with their item through the steps after, until a step makes new items without them.
  • Files are kept with the run in private storage, and go when the run leaves the run history. A test's files go with the test.
  • Up to 250 MB a file between steps. The service you send it to has its own limits — Gmail takes 25 MB of attachments in one email.

If something goes wrong

What the run says Why What to do
Attachment 1 is not a file when the step ran — {{ … }} may not have brought one. The value was not a file in that run — the form was sent without one, say. Check the earlier step gave a file; make the form field required.
invoice.pdf is no longer kept — the run it came from has left the history. The file's run was removed. Use a file from the current run.
… is too large to pass between steps — the limit is 250 MB. The file is over 250 MB. Handle it outside Bizomate.
