Restoring copies an earlier version's steps and settings into your draft. Nothing live changes: the running version keeps running until you publish the restored draft. Use it to roll back a change that went wrong.

Who can do this

Workspace Admins and Editors. Viewers see Compare but not Restore.

Steps

Straight from the Versions menu:

  1. Open the workflow in the designer.
  2. Select Versions at the top right.
  3. Beside the version, select Restore.

From a comparison, to see what comes back first:

  1. Select Versions, then Compare beside the version. See Compare two versions of a workflow.
  2. Select Restore v3 at the top right.
  3. Restore v3 into the draft? says what changes — for example Your draft becomes v3: Ask Rohan to approve goes back to how it was, Wait for the reply comes out and Email the supplier comes back. Anything you changed in the draft since v4 is lost. and Live v4 keeps running until you publish.
  4. Select Replace the draft with v3. The button reads Restoring while it works.

Either way, a toast says v3 is in the draft — What is live has not changed. Publish to make this the running version.

What happens next

  • Your draft is replaced by the restored version's steps. Changes you made in the draft since are gone.
  • The live version keeps running. The workflow's switch is not touched.
  • To make the restored version run, publish it. It becomes a new version number — v3 restored and published becomes v6, say.

Good to know

  • Restore from the menu does not ask first. If your draft has work you want to keep, compare first, or export the workflow.
  • Undo (Ctrl Z) does not reach back past a restore; the designer starts its history again from the restored draft.
  • Only kept versions can be restored. How many are kept depends on the plan.

If something goes wrong

What you see Why What to do
Not restored — That version is no longer kept. The plan's version limit removed it. Choose a newer version.
Not restored — There is no draft to restore into. Reload the designer. The designer is out of date — perhaps someone published in another tab. Reload the page and try again.
Restore is not in the menu You are a Viewer. Ask an Admin or Editor.
