Three Outlook steps tidy the mailbox once a workflow has dealt with an email: Move an email — Files an email in another folder; Mark read or unread; and Delete an email — Moves an email to Deleted Items.
Who can do this
Workspace Admins and Editors, on every plan.
Before you start
- A Microsoft 365 connection allowed to Read and send mail.
- An earlier step that gives the email's id — Search emails, for example.
Steps
Move an email:
- Select +, then in Apps select Outlook, then Move an email.
- Choose the Connection.
- In Email, put the email's id — The email to move.
- In Move to, choose the folder — Any folder in the mailbox, subfolders included.
Mark read or unread:
- Select +, then Outlook, then Mark read or unread.
- Choose the Connection, and put the id in Email.
- Under Mark as, choose Read (the default) or Unread.
Delete an email:
- Select +, then Outlook, then Delete an email.
- Choose the Connection, and put the id in Email — It goes to Deleted Items, as it does in Outlook.

Good to know
- Moving gives the email a new id. Steps after a move must use
{{ steps.move_an_email.id }}, not the id from before. - Deleting is not permanent. The email is in Deleted Items, as when you delete it in Outlook.
- Runs once per item.
If something goes wrong
