A new list starts with a name and its columns. Once it exists, you can add rows by hand, import a CSV, or let a workflow write them. Create one when a workflow needs to remember something between runs, look something up, or collect results.

Who can do this

Workspace Admins. Editors and Viewers do not see + New list; the Lists page tells them Only admins add, rename and delete lists.

Steps

  1. Select Lists in the bar at the top of the page.

  2. Select + New list at the top right. A panel opens on the right, headed New list: It starts empty. Add rows by hand, import a CSV, or let a workflow write them.

  3. In Name, type the list's name, such as Processed invoices.

  4. Under Columns · 1, type the first column's name in the box that says column_name — for example invoice_no.

    • Column names are lower_snake_case: small letters, numbers and _, starting with a letter.
  5. Choose the column's type in the menu beside it: Text, Number, True/false, or Date and time.

  6. Tick or untick Required. A Required column must have a value in every row. The first column starts ticked.

  7. To add another column, select + Add column and choose its type from the menu:

    • Text — anything
    • Number — 18, 5000.50
    • True/false — yes or no
    • Date and time — with a time zone

    Then name it, and set Required.

  8. To change the order of the columns, drag a column by its ⋮⋮ handle.

  9. To take a column out before you save, select the bin beside it.

  10. Optional: under Unique column, choose the column whose value must be different on every row — an invoice number, an email address. Leave it on None if rows may repeat.

  11. Select Create list. The button reads Creating while it saves.

A toast says Processed invoices created — Add rows by hand, import a CSV, or let a workflow write them., and the new list opens, with No rows yet.

What happens next

  • The list is in this workspace, and everyone in the workspace can open it.
  • Its row count is 0 rows. It counts as one list towards the company's plan from now.
  • Workflows in this workspace can choose it in any list step straight away. See Read a list in a workflow and Write to a list from a workflow.

Good to know

  • A step reads a column by its name: {{ steps.find_customer.email }} is the email column of the row the Find customer step found.
  • The unique column is always Required. Its Required box is ticked and cannot be unticked.
  • Without a unique column, Add or update a row is not available — two runs at the same moment could both add the same row and neither would know.
  • Limits: a name of up to 100 characters; up to 50 columns; a column name of up to 64 characters. Two lists in one workspace cannot share a name, whatever the capitals.
  • How many lists you can have: 2 on Free, 10 on Starter, no limit on Pro and Enterprise, counted across every workspace in the company.
  • You can change everything later — the name, the columns, their types and the unique column. See Change a list's columns.

If something goes wrong

What you see Why What to do
Give the list a name. Name is empty. Type a name.
A list's name is at most 100 characters. The name is too long. Shorten it.
There is already a list called Processed invoices here. Pick another name. Another list in this workspace has that name. Choose a different name.
Give the column a name. A column has no name. Name it, or remove it with the bin.
Column names are lower_snake_case — letters, numbers and _, starting with a letter. The column name has capitals, spaces or other characters. Write it like invoice_no.
A column's name is at most 64 characters. The column name is too long. Shorten it.
There are two columns called invoice_no. Two columns have the same name. Rename one.
A list needs at least one column. Every column was removed. Select + Add column.
+ Add column is greyed out The list has 50 columns, the most it can have. Remove a column you do not need.
+ New list is greyed out, with Your plan allows 2 lists across the company The company has as many lists as its plan allows. Delete a list you no longer need, or ask the company's Owner to move to a bigger plan.
Your plan allows 2 lists across the company, and they are all in use. Delete one you no longer need, or move to a bigger plan. Someone else created a list while the panel was open, using up the plan. As above.
