Google Calendar · Find free time — Times when everyone is free, one item each — reads several people's calendars and gives the slots when all of them are free.
Who can do this
Workspace Admins and Editors, on every plan.
Before you start
A Google Workspace connection allowed to See and change your calendars, in the organisation of the people whose calendars it reads.
Steps
- Select +, then in Apps select Google Calendar, then Find free time.
- Choose the Connection.
- In Whose calendars, the addresses — People in your organisation whose calendars you can see — you are included. Separate several with commas.
- Optional: in From, when to start — Empty starts tomorrow.
- Optional: in Until, when to stop — Empty looks five days ahead. A month at most.
- Under Length, from 15 minutes to 8 hours. It starts on 30 minutes.
- Under Working hours, choose Working hours (weekdays, 09:00 to 18:00) or Any time.
- In Time zone, the zone the times are in.
- In Suggest at most, how many slots — it starts at 10. One item per free slot, earliest first — the next step books the first. Up to 50.
Output
One item per free slot: start, end and timeZone. Use {{ $json.start }} in Create an event's Starts.
Good to know
- Your own calendar always counts — the connected account must be free too.
- Slots start on the quarter hour and never overlap.
- Times already past are not offered.
- No free time gives no items.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Google Calendar could not read asha@northwind.example's calendar: notFound. You can only see calendars shared with you. | The account cannot see that calendar. | Ask them to share their calendar, or check the address. |
| Until is before From — nothing to look through. | The dates are the wrong way round. | Correct them. |
| Whose calendars is empty when the step ran — … | No addresses. | Fill it in. |
