A new workflow opens straight in the designer as a draft. You name it, pick how it starts, then add the steps it takes. Nothing runs until you publish it and switch it on.

Who can do this

Workspace Admins and Editors, on every plan. Viewers do not see + New workflow.

There is no limit on how many workflows you make. Your plan limits how many can be switched on at once — see Switch a workflow on or off.

Steps

  1. Select Workflows in the bar at the top of the page.

  2. Optional: to put the new workflow straight into a project, choose that project in the project filter first. The workflow is made in the project you are looking at.

  3. Select + New workflow at the top right.

    • The arrow beside it offers Blank workflow (Start on an empty canvas.) or From a template (Pick one from the gallery, by job. It arrives as a draft.), which opens the template gallery.

The designer opens with the name Untitled workflow selected, ready to type over.

  4. Type a name — for example Weekly sales summary — and press Enter. Esc keeps Untitled workflow. A toast says Renamed — Now called “Weekly sales summary”.

  5. On the canvas, under How should this workflow start?, choose one:

    • An app does something or Browse all triggers — opens the trigger picker. See Change how a workflow starts.
    • On a schedule — adds a Schedule trigger at once, set to every weekday at 09:00.
    • A form is filled in — adds a Form trigger and shows the form preview.
    • Under Start from a template, one of the templates listed — see below.

The trigger appears on the canvas with its settings open on the right.

  6. Set the trigger up, then select + under it to add the first step. See Add a step.

Starting from a template on the empty canvas

The empty canvas lists the templates whose steps Bizomate runs today, each with its chain of steps.

  1. Select a template. Its steps are laid out on the canvas.
  2. If the workspace has exactly one working connection for a service the template uses, each of those steps is given it. Otherwise you choose one.
  3. If the workflow was still called Untitled workflow, it takes the template's name.

A toast says Started from “…” — Set up the steps marked Needs setup — your sheet, table or address — then test and publish. Steps that still need something from you carry the Needs setup badge.

See all templates opens the full template gallery. A ◇ beside a template means it uses Microsoft SQL, which asks for a paid plan when you publish.

What happens next

  • Everything you change saves as you go. The pill beside the name reads Draft · autosaved just now, then the minutes since.
  • The workflow is a draft. It shows as NEVER PUBLISHED on the Workflows list until you publish it.
  • Nobody else is told. Other members see it on the Workflows list straight away.

Good to know

  • A workflow has one trigger. It is always the first step. You can change it later without losing the steps after it.
  • Names can be up to 200 characters. Two workflows can share a name, but it makes them hard to tell apart.
  • Templates on the empty canvas are on every plan, Free included.
