Eight Airtable steps work with the records in a table:

  • Airtable · Create a record — Adds a record to a table, a value for each field you fill in.
  • Airtable · Create records — Adds a record for each entry in a list from an earlier step.
  • Airtable · Update a record — Changes the fields you fill in on one record.
  • Airtable · Upsert a record — Updates the record whose fields match, or creates one.
  • Airtable · Find records — Records that match a formula, or fields that equal values.
  • Airtable · Get a record — One record's fields, by its id.
  • Airtable · Delete a record — Deletes one record from a table.
  • Airtable · Upload an attachment — Adds a file from an earlier step to a record's attachment field.

In the picker, the steps that change records are tagged Changes data, and Delete a record Deletes data.

Who can do this

Workspace Admins and Editors, on every plan. Viewers see the steps' settings but cannot change them.

Before you start

An Airtable connection in this workspace whose token includes the base — see Connect Airtable.

Steps

Choose the table (every step):

  1. Select + where the step should go. In the step picker, open Apps, select Airtable, then the step. Or search Airtable.
  2. In Connection, choose your Airtable connection.
  3. In Base, choose the base — Bases the token was given. For example Consulace CRM · Creator.
  4. In Table, choose the table — Clients · 12 fields. Its fields load from Airtable.

Create a record:

  1. Under Fields, each row is one of the table's fields, with its type — choice, person, by email, linked records, by id, date and time. Fill in the ones you need — Company Northwind Logistics, Owner asha@consulace.com, Stage Proposal. Read from the table. Only the fields you fill in are set. Choices by name, people by email, linked records by id.
  2. Leave Convert values on — Airtable turns text into each field's type — a choice the field does not have yet is added to it.
  3. Select Run this step to try it. This adds a real record.

Create records:

  1. In List, a list from an earlier step — for example {{ steps.get_rows.rows }}. A list from an earlier step — rows, items — or a JSON list. Each entry becomes a record, sent 10 at a time, up to 1,000.
  2. Optional: under Fields from each entry, type for each field the name of the value in each entry that fills it — company, say. Empty: each entry's values go to the fields of the same names.
  3. Leave Convert values on.

Update a record:

  1. In Record id, the record's id — The record's id — an earlier step's id, or one from Find records. A record's link works too.
  2. Under Fields, fill in only what should change — Only the fields you fill in change — unless Replace all fields is on.
  3. Optional: turn on Replace all fields — On: every field not filled in here is cleared.

Upsert a record:

  1. In Fields to match on, choose the field that says it is the same record — Email, say. To match on up to 3, use a value with their names separated with commas.
  2. Under Fields, fill in the fields — Fill in the fields to match on too. Only the fields you fill in are set. A record whose matching fields hold the same values is updated; if there is none, one is created.

Find records:

  1. Either type Airtable's own formula in Formula — AND({Stage}='Proposal', {Owner}='Asha Raghunathan') — or leave it empty and add rows under Field equals: a field and the value it must hold, such as Stage and Proposal. Every row given must match. An empty value matches an empty field.
  2. Optional: in View, a view — Only records in this view, in its order. Empty: the whole table.
  3. Optional: in Sort by, a field, and under Order, Lowest first or Highest first.
  4. In Most records, how many at most — Up to 1,000. It starts at 100.

Get a record and Delete a record:

  1. In Record id, the record's id.
  2. Select Run this step to try it. Delete a record deletes a real record.

Upload an attachment:

  1. In Record id, the record's id.
  2. In Attachment field, choose the field — only attachment fields are listed.
  3. In File, a file from an earlier step — A file from an earlier step, up to 5 MB. It is added beside the field's other files. See Pass files between steps.

Every list offers Use a value above it, to give a name or id from an earlier step instead; Choose from the list goes back.

Output

Step What it gives
Create a record, Update a record, Get a record The record — id, url, createdAt, and each field by its name, such as Company or Stage.
Upsert a record The record, and outcome — created or updated.
Create records count and records, each a record as above.
Find records count, records and first.
Delete a record id and deleted (true).
Upload an attachment The record, with the attachment field's files — each with id, filename, url, size and type.

People come out as their names, dates and times in UTC — 2026-10-02T09:15:00Z.

Good to know

  • Find records gives one item, with count, the list of records and the first. When nothing matches, the run goes down When nothing is found instead, with found set to false — see When a Find step finds nothing.
  • A formula wins. With both Formula and Field equals filled in, only the formula is used. In Field equals, a number field compares as a number and a checkbox as ticked or not.
  • Create records sends 10 records at a time, as Airtable allows, up to 1,000 in one step. If Airtable refuses part way, the error says which entries were not created and how many before them were — so trying again does not make those twice.
  • Each step reads the table's fields from Airtable as it runs, so values are turned into each field's type. After you add a field in Airtable, select Refresh on Fields to see it.
  • A field filled in with a value that comes out empty is cleared — a checkbox is unticked. Leave a field's row empty to leave it as it is.
  • Fields Airtable works out — formulas, rollups, counts, lookups, created and modified times, autonumbers, buttons — are not offered to set. You can still sort by them.
  • Deleting is permanent from a workflow; a deleted record can be restored only from the base's trash in Airtable, while it is there.
  • Each item runs the step once. Ten items create ten records — or use Create records for a list.

If something goes wrong

What you see Why What to do
Nothing to pick — "The token reaches no base. Edit it in Airtable, add the bases its workflows use, then Refresh." The token does not include any base. Add the base to the token in Airtable, then Refresh.
Give a new value for at least one field. Update a record has nothing to change. Fill in a field, or turn on Replace all fields.
Give Email a value — it is one of the fields to match on. A field to match on is not filled in. Fill it in under Fields.
Airtable matches on up to 3 fields. Choose fewer under Fields to match on. More than three names were given. Match on three fields at most.
“…” is not a record id, like recA1b2C3d4E5f6G7. Record id came out as something else. Check the value it reads.
Clients has no field named “Stage”. Refresh the fields and choose again. The field was renamed or deleted in Airtable. Select Refresh on Fields and fill it in again.
Amount takes a number; “twelve” is not one. The value does not fit a number field. Give a number.
List is empty when the step ran — there is nothing to create. or List is not a list of records — a list from an earlier step, or a JSON list. List holds nothing, or not a list. Point it at a list of rows or items.
List holds 1,200 entries; one step creates up to 1,000. The list is too long for one step. Split it, or use Loop Over Items.
contract.pdf is 7.2 MB; Airtable takes a file up to 5 MB here. The file is too big for this step. Use a smaller file.
"Airtable refused: … Check the connection's details on Connections." The token lacks a scope, or your account cannot edit the base. Add data.records:write to the token, or ask for editor access to the base.
"Airtable refused: The formula for filtering records is invalid: …" Formula is not valid Airtable — a field name without { }, or a missing quote. Try the formula in a formula field in Airtable first.
"Could not reach Airtable: …" or "Airtable did not answer within 30 seconds." Airtable could not be reached, or was asked too often. The step can try again — see Make a step try again when it fails.
