The Pipedrive steps add, change and find records in your Pipedrive company. Deals, people, organisations and activities each have steps of their own; leads, notes and products share a set of record steps with a Record type list. Fields are read from your Pipedrive company, custom fields included, so a step shows the fields your team sees.

For Steps
Deals Create a deal — Adds a deal, a value for each field you fill in · Update a deal — Changes the fields you fill in on one deal · Find deals — Deals whose fields equal the values you give · Move a deal to a stage — Puts a deal in the stage you choose · Add a product to a deal — Adds a product to a deal, with its quantity and price
People Create a person · Update a person · Create or update a person — Updates the person with this email, or creates them · Find people
Organisations Create an organisation · Update an organisation · Create or update an organisation — Updates the organisation with this name, or creates it · Find organisations
Activities Create an activity — Adds a call, meeting or task — on a deal, person or organisation if you give one · Update an activity — Changes the fields you fill in on one activity — mark it done, say · Find activities
Leads, notes, products Create a record · Update a record · Create or update a record (leads and products) · Find records
Any record Get a record — One record's fields, by its id · Delete a record — Deletes one record · Add a note — Adds a note to a deal, person, organisation or lead · Associate records — Links a deal or lead to a person or organisation, or a person to an organisation

Every step that writes is tagged Changes data; Delete a record is tagged Deletes data. Deals and activities have no field that tells one from another, so they have no Create or update of their own.

Who can do this

Workspace Admins and Editors. Pipedrive is a premium service, marked ◇: on the Free plan its steps say On any paid plan. You can build and test it now; publishing needs a paid plan.

Steps

Create a deal (a person, organisation or activity works the same way):

  1. Select + where the step should go. In the step picker, open Apps, select Pipedrive, then Create a deal. Or search Pipedrive.
  2. In Connection, choose your Pipedrive connection. Loading the columns… shows while the fields are read.
  3. Under Fields, each row is one of the deal's fields, by the label your company gives it, with what it takes beside it — text · required, amount, choice — Hot, Warm, Cold, Pipedrive user — email or id, organisation id. Required ones come first. Read from your Pipedrive account, required ones first. Choices by their label, users by email, people, organisations and stages by id.
  4. Fill in the rows you need — Title Northwind Logistics — fleet tracking, Value 450000, Owner asha@consulace.com, Organization the id from an earlier Create or update an organisation. Empty rows are left out.
  5. Select Run this step to try it. This makes a real deal.

For a person the help reads Choices by their label, users by email, an organisation by id; for an organisation, Choices by their label, users by email; for an activity, Type by its name (Call, Meeting), Due date like 2026-10-05, Done as yes or no, a deal, person or organisation by id.

Update a deal, person, organisation or activity:

  1. In Deal id (or Person id, Organisation id, Activity id), the record's id — The deal's id — an earlier step's id, or its link in Pipedrive. For example 4821, or the id from a trigger.
  2. Fill in only the rows that should change — Only the fields you fill in change.

Create or update a person or an organisation:

  1. For a person, in Email to match on, the email — rohan@consulace.com. The person with this email is updated; with nobody, they are created with it.
  2. For an organisation, in Name to match on, the name — Northwind Logistics. The organisation with exactly this name is updated; with none, it is created with it.
  3. Fill in the other fields. For a person: A new person needs Name. Only the fields you fill in are set.

Find deals, people, organisations or activities:

  1. Under Where, fill in a value for each field to find by — Status open, Organization 77. A field and the value it must equal — every row must match. A title or text field is searched in Pipedrive; the rest are checked on what it finds.
  2. For deals, Status — Any (the default), Open, Won or Lost. For activities, Done — Any, Not done or Done.
  3. Optional: Pipedrive filter — A filter saved in Pipedrive: only its deals. Empty: every deal.
  4. In Most records, how many at most — Up to 1,000. It starts at 100.

Move a deal to a stage:

  1. In Deal id, the deal's id.
  2. In Pipeline, choose the pipeline — Sales. Its stages load.
  3. In Stage, choose the stage — Proposal made. A stage of the pipeline — by id, or its name from an earlier step.

Add a product to a deal:

  1. In Deal id, the deal's id.
  2. In Product, choose the product — each shows its code. By id, or its exact name from an earlier step.
  3. In Quantity, how many — it starts at 1.
  4. Optional: Price — Each. Empty: the product's own price in the deal's currency. — and Discount % — 10.

Leads, notes and products:

  1. Add Create a record, Update a record, Create or update a record or Find records.
  2. In Record type, choose Lead, Note or Product. Create or update a record offers Lead and Product; a note has nothing to match on. The fields load for that type.
  3. Fill in the fields. Read from your Pipedrive account. A lead needs a Person or an Organization; a note goes on a deal, person, organisation or lead, by id. A lead's Value goes with its Currency — USD.
  4. For Update a record, Record id — An earlier step's id, or the record's link in Pipedrive. A lead's id is a long code.
  5. For Create or update a record, choose the Field to match on — A field that is unique — a product's Product code, say. — and type the Value to match.

Get a record, Delete a record:

  1. In Record type, choose Deal, Person, Organisation, Activity, Lead, Note or Product.
  2. In Record id, the id — An earlier step's id, or the record's link in Pipedrive.

Add a note:

  1. In Note, the text — Call with Northwind Logistics went well.
  2. Fill in at least one of Deal id, Person id, Organisation id and Lead id — Give at least one of the four.

Associate records:

  1. In Link, choose Deal, Person or Lead, and give Its id.
  2. In To, choose Person or Organisation, and give Their id. A deal or lead has one person and one organisation: linking replaces the one it had.

Every list offers Use a value above it, to give an id or name from an earlier step instead; Choose from the list goes back.

Output

Step What it gives
Create, Update, Create or update, Get a record, Move a deal to a stage The record — id, url (its page, https://consulace.pipedrive.com/deal/4821), each field by Pipedrive's API name (title, value, currency, a custom field's long key), createdAt and updatedAt. Another record comes as its id, with its name beside it — org_id and orgName, person_id and personName, owner_id and ownerName. A choice comes as its label; a person's email and phone as the primary one. A deal also gives stageName and pipelineName.
Create or update The record, and outcome — created or updated.
Find deals, Find people, Find organisations, Find activities, Find records count, the list — deals, people, organizations, activities or records — and first.
Add a note The note — id, url (the page of the deal, lead, person or organisation it is on), content and its other fields.
Add a product to a deal id, dealId, productId, productName, quantity and price.
Associate records linked (true), id and url of the deal, lead or person, and personId or orgId.
Delete a record id and deleted (true).

An activity has no page of its own: its url is the page of the deal, lead, person or organisation it is on, or Pipedrive's activities list.

Good to know

  • Find gives one item, with count, the list and first. When nothing matches, the run goes down When nothing is found instead, with found set to false — see When a Find step finds nothing.
  • How Find looks. With a Pipedrive filter, its records are checked against Where. Otherwise a name, email, phone, title or text field is searched for exactly in Pipedrive and each answer checked; other fields are checked on the list itself, up to 5,000 records. Find activities looks at everyone's activities the token may see.
  • Create or update finds the record the same way. If several match, the first Pipedrive gives is updated.
  • Fields are read when the step runs, so values are turned into each field's type: numbers, a date as 2026-10-09, a time as 14:30, yes or no, a choice by its label, a user by email or name, a lead's labels by name.
  • After a field changes in Pipedrive, select Refresh columns on Fields. Fields Pipedrive works out itself — counts, times, the record's own id — are never listed.
  • Changing the record type lists that type's fields instead.
  • Delete a record cannot be undone from Bizomate.
  • On the Free plan, publishing stops with "“Create a deal” needs a paid plan. Change the plan, or remove it and publish the rest." Tests work on any plan.

If something goes wrong

What you see Why What to do
“…” is not a Pipedrive deal id — a number, like 4821. (or … lead id, like 3f9c2b10-6a1e-11ef-9b2d-0242ac120002.) The id box came out as something else. Check the value it reads.
Give Title a value — Pipedrive needs it for a new deal. A field Pipedrive needs is empty. Fill it in; required fields come first.
A lead in Pipedrive belongs to a person or an organisation. Give Person or Organization. A new lead has neither. Fill in Person or Organization with an id.
A note goes on a deal, a person, an organisation or a lead. Give the id of one of them. A note has nothing to go on. Give one of the ids.
Give a new value for at least one field. An Update step has nothing filled in. Fill in what should change.
Pipedrive has no deal field “…”. Refresh the fields and choose again. The field was renamed or deleted in Pipedrive. Select Refresh columns and fill it in again.
Probability is worked out by Pipedrive, so a step cannot set it. The field is one Pipedrive fills in itself. Leave it empty.
Label has no choice “…” — it takes Hot, Warm, Cold. A value is not one of the field's choices. Use one it lists.
Owner takes a Pipedrive user — nobody in the company has the email or name “…”. No user matches. Give the user's email in Pipedrive.
Pipedrive has no activity type “…” — it has Call, Meeting, Task, …. The activity type is not one your company has. Use one it lists.
Give Currency too — a lead's value is an amount in a currency, USD say. A lead's Value has no Currency, or the other way round. Fill in both.
The pipeline Sales has no stage “…”. Choose one from the list. The stage was renamed, or is in another pipeline. Choose the pipeline and stage again.
Pipedrive has no product called “…”. Choose one from the list. or Fleet tracker has no price in Pipedrive. Give Price. The product name does not match, or it has no price. Choose the product, or fill in Price.
Value to match is empty when the step ran — an earlier step may not have given the value it names. The match value came out empty. Check the earlier step gives it.
Could not load the columns — "Pipedrive refused: … Check the connection's details on Connections. What you mapped is kept." The token was regenerated or its user deactivated. Select Reconnect, or replace the token on Connections.
Nothing to pick — "This Pipedrive company has no pipelines. Make one in Pipedrive, then Refresh." There is nothing in Pipedrive to choose. Add it in Pipedrive, then Refresh.
"Could not reach Pipedrive: …" or "Pipedrive did not answer within 30 seconds." Pipedrive could not be reached. The step can try again — see Make a step try again when it fails.
