The Lists page shows every list in the workspace you are in, how big each one is and who changed it last. Use it to find a list, open it, and see how much of the plan's room for lists is used.

Who can do this

Everyone in the workspace — Admins, Editors and Viewers. Only Admins see + New list, and Rename, Columns and Delete list in a list's menu; Admins and Editors see Import CSV. Editors and Viewers see a note at the top of the page, headed Only admins add, rename and delete lists, saying what their role lets them do.

Steps

  1. Select Lists in the bar at the top of the page. Under the heading it says Rows your workflows read and write as they run, and anyone here can change by hand.
  2. To find a list by name, type in Search lists. The table narrows as you type; capitals do not matter.
  3. To open a list, select its name. Its rows open.
  4. For anything else, select ⋮ at the end of its row. The menu offers:
    • Open
    • Rename, Columns — Admins only
    • Import CSV — Admins and Editors
    • Export CSV
    • Used by — the workflows that read or write it
    • Delete list — Admins only

If no list's name matches, the page says Nothing matches — No list here is called anything like “…”. Select Clear the search.

What each row shows

Column What it says
Name The list's name. Select it to open the list.
Columns How many columns it has.
Rows How many rows it holds.
Unique column The column that may not repeat, with a shield, or none.
Used by How many workflows use it — 3 workflows, or None yet.
Last changed Who changed it last and when — a person's initials and name, or a run, 12 minutes ago when a workflow wrote to it. a run, Refused, … means the last write from a workflow was turned away.

Under the table, Showing 1–4 of 4 and A list belongs to this workspace. Rows and lists count against your company’s plan.

What happens next

Nothing changes by searching or opening a list. A list opens on its rows, where you can add, change, filter and sort them — see Add a row to a list and Filter and sort a list's rows.

Good to know

  • The meter. Above the table, a meter shows rows and lists against the plan — for example 1,240 of 10,000 rows and 4 of 10 lists — with a bar for each. It reads Counted across every workspace in Consulace Business Solutions Private Limited., because the plan's limits are for the whole company. On a plan with no limit it shows only the numbers, and No limit on your plan. Counted across every workspace in Consulace Business Solutions Private Limited. The company's Owner also sees See plans.
  • The note for Editors and Viewers. Editors read You can open every list here, change and import its rows, and read them in your workflows. Only admins change columns and delete. Viewers read You can open every list here and read it, and export its rows. Editors change and import rows; admins also add, rename and delete lists.
  • The page is the workspace you are in. Lists in another workspace show once you switch to it.
  • On a phone, each list is a card with its rows, its columns, its unique column, how many workflows use it and when it last changed. Select a card to open the list.
  • The bar turns to a warning at 80% of the plan's rows or lists. At 80% of rows a banner also says You are close to the row limit; at the limit, Writes have stopped. Reads keep working. See List limits and what happens when lists are full.
  • + New list is greyed out when the company has as many lists as the plan allows — Your plan allows 10 lists across the company.

If something goes wrong

What you see Why What to do
No lists yet The workspace has no lists. Admins select + New list. See Create a list.
Nothing matches No list's name contains what you typed. Select Clear the search, or try part of the name.
Your lists could not be loaded — Nothing is lost — this page could not reach them just now. Your workflows are still reading and writing them as normal. The page could not load the lists. Select Try again. If it fails twice, open a ticket from Help and quote the reference shown under the buttons.
No + New list, Rename or Delete list You are an Editor or a Viewer. Ask a workspace Admin.
+ New list is greyed out The company has reached the plan's number of lists. Delete a list you no longer need, or ask the Owner to change the plan.
