Three WooCommerce steps work with orders. WooCommerce · Create an order — An order for products, with the customer's details — places an order. WooCommerce · Update an order's status — Moves an order on — processing, completed, cancelled — changes where it is. WooCommerce · Add an order note — A note on an order, private or to the customer — records something on the order, or tells the customer.

Who can do this

Workspace Admins and Editors, on every plan. Viewers see the steps' settings but cannot change them.

Before you start

A WooCommerce connection with a Read/Write key — see Connect WooCommerce.

Steps

Create an order:

  1. Select + where the step should go. In the step picker, open Apps, select WooCommerce, then Create an order.
  2. In Connection, choose your WooCommerce connection.
  3. Under Line items, select Add a field for each product. In the first box, the product's id — 123 — and in Value, how many. Each product's id and how many.
  4. Optional: the customer's Customer email (rohan@consulace.com), First name (Rohan), Last name (Mehta) and Phone. These become the order's billing details.
  5. Optional: in Customer, a WooCommerce customer's id, to link the order to their account.
  6. In Status, choose where the order starts — Pending payment unless you change it, or Processing, On hold, Completed, Cancelled, Refunded or Failed.
  7. Optional: switch on Mark it paid.
  8. Select Run this step to try it. This places a real order in the store.

Update an order's status:

  1. In the step picker, open Apps, select WooCommerce, then Update an order's status.
  2. In Order, the order's id — for example {{ trigger.id }}.
  3. In Status, choose the new one. It starts at Completed.
  4. Select Run this step to try it.

Add an order note:

  1. In the step picker, open Apps, select WooCommerce, then Add an order note.
  2. In Order, the order's id.
  3. In Note, what to write — Packed and handed to the courier.
  4. Switch on Send to the customer to have WooCommerce email it to them — On: WooCommerce emails it to them. Off, it is a private note only your team sees.
  5. Select Run this step to try it.

Output

Create an order and Update an order's status:

Field What it is
id WooCommerce's id for the order — what the other order steps take.
number The order number customers see.
status pending, processing, completed and so on.
total, currency The total, such as 1499.00, and its currency, such as INR.
email, phone, customerName From the billing details — Rohan Mehta.
paymentMethod The payment method's name.
createdAt When the order was placed, in UTC.
lineItems A list, each with name, quantity, total and sku.

Add an order note:

Field What it is
id The note's id.
note The text.
toCustomer True when it was sent to the customer.

Good to know

  • Create an order uses the product's own price. You choose what and how many; WooCommerce works out the total.
  • A line with no number in Value counts as one.
  • Mark it paid marks the order paid and moves it to Processing, as a payment would.
  • WooCommerce sends its own emails when a status changes — the completed order email, for example — as set under WooCommerce › Settings › Emails.
  • Use the id, not the number. Most stores show the id as the number, but plugins that change order numbers make them differ.

If something goes wrong

What you see Why What to do
Line items is empty — add each product's id and how many. No line was filled in. Add a line with a product's id.
Line items: “…” is not a product's id. The first box has something other than a number. Use the product's id, a number.
Order is empty when the step ran — an earlier step may not have given the value it names. The value came out empty. Check the value it reads.
Note is empty when the step ran — … Note came out empty. Check the value it reads.
WooCommerce refused: Invalid ID. No order has that id. Use id from the trigger or Create an order.
WooCommerce refused: … WooCommerce did not accept the order, in its own words — for example a product that no longer exists. Check the values.
