Two Todoist triggers check your Todoist on a schedule:
- Todoist · New task — When a task is added in Todoist.
- Todoist · Task completed — When a task is ticked off in Todoist.
Each task found since the last check starts a run.
Who can do this
Workspace Admins and Editors, on every plan. Viewers see the trigger and its status but cannot change it.
Before you start
A Todoist connection — see Connect Todoist.
Steps
- Open the workflow in the designer and open the trigger picker — Browse all triggers on an empty workflow, or select the trigger and Change how it starts.
- Under Todoist, select New task or Task completed. Or type Todoist in Search triggers.
- In Connection, choose your Todoist connection.
- Optional: in Project, a project to hear only that one — Consulace. Empty: every project.
- Under Checks, choose Every 5 minutes or Every 15 minutes — Every 5 minutes on paid plans, every 15 on Free. A check that finds nothing starts no run and costs nothing.
- Open the Output tab. Under Test with a real one, select Fetch a sample. The newest open task comes in — or, for Task completed, the task completed most recently in the last 30 days — and Test run starts with it.
- Add the steps, test, then Publish.
What the trigger gives
The task, as the Todoist steps give it — id, content, description, url, projectId, projectName, sectionId, labels, priority (p1 to p4, as Todoist shows it), dueDate, dueText, assignee, createdAt. Task completed also gives completedAt, and the task as it was when it was ticked off.
What happens next
- The first check after publishing only notes where things stand. Tasks already there, or already completed, never start a run. Until then the panel says Starts with what arrives after you publish — nothing already there sets it off.
- Each task starts one run, named after it — New task · Send Northwind Logistics the onboarding pack, Task completed · ….
- Up to 100 tasks start runs in one check; the rest wait for the next, in order.
- A check that finds nothing starts no run and costs nothing.
- The trigger's Settings show what it is doing — Checking every 5 minutes — Last checked 10:45 · next 10:50 — and its Recent checks.
Good to know
- Every 5 minutes is for paid plans. On Free it checks every 15 minutes whatever is chosen.
- New task hears open tasks. A task added and ticked off between two checks never starts a New task run.
- Task completed looks back at most 3 months. Todoist keeps completed tasks within reach for that long; if checks stopped for longer (the workflow switched off), tasks completed before then don't start runs.
- A recurring task does not count as completed when you tick it off — Todoist moves it to its next date instead.
- Changing the project or connection and publishing starts again from then.
- Instant Todoist triggers come with signing in with Todoist, which is not offered yet.
- Runs start in Production and count in the month's allowance.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Nothing matches yet — add one, then fetch again. | No open task — or, for Task completed, none completed in the last 30 days. | Add or complete a task, then Fetch a sample. |
| Choose the project from the list. | Project holds a value from a step. | Choose it from the list, or leave it empty. |
| Not checking since 10:45 with Todoist refused: … Check the connection's details on Connections. Nothing is lost — what arrives meanwhile is picked up by the first check that works. | A new token was issued in Todoist. | Select Reconnect and paste the new token, then Check now. See When an app trigger stops checking. |
