Daily summary by email from a sheet runs every weekday at 09:00. It reads the rows of a Google Sheet and emails them to the people you choose, with how many rows there are. It runs on every plan, Free included. This article shows how to install it and fill in each step.
Who can do this
Workspace Admins and Editors. Templates are on every plan, and this one uses no premium connection.
Before you start
- A Google Workspace connection. See Get rows or find a row in Google Sheets.
- A sheet with headings in its first row.
The email is sent by Bizomate itself, so it needs no connection.
Steps
Install it
- On Workflows, select the arrow beside + New workflow, then From a template.
- In Search templates, type summary.
- On Daily summary by email from a sheet, select Use this template.
- In Install into, choose the workspace or project, then select Install as a draft.
- The toast says Installed as a draft, for example Daily summary by email from a sheet is in Consulace. Connect Google Sheets, then publish. If the workspace has one Google Workspace connection, the template has chosen it and the toast doesn't name it. Select Open it. The workflow opens in the designer with three steps.
You can also start it on a new, empty workflow, under Start from a template. See Starting a workflow from a template.
Fill in the steps
- Select Every weekday at 09:00 (Schedule). It runs Monday to Friday at 09:00. To change it, choose another time after at, or another choice after Every, such as day. Check Next runs.
- Select Get the day's rows (Google Sheets · Get rows).
- Choose the Connection, the Spreadsheet (with Choose) and the Sheet.
- Give them as is already One list, so all the rows go into one email. Leave it.
- Return at most starts at 100 rows, and goes up to 1,000.
- Select Send the summary (Send an email).
- In To, type the addresses that get it, such as rohan@consulace.com, asha@consulace.com. Separate several with commas, up to 10.
- Subject is already Daily summary — {{ steps.get_rows.count }} rows, and Message says how many rows there are, then
{{ steps.get_rows.text }}: each row on a line of its own, by its headings, such as Customer: Consulace · Amount: 4500. Empty cells are left out. Change the words if you like.
- Select Test run. A test starts at once, without waiting for 09:00, and really sends the email. See Testing a workflow before you publish it.
- Publish the workflow and switch it on.
What happens next
- It runs every weekday at 09:00 while it's published and switched on, and each run counts in the month's allowance.
- The times are in the time zone of whoever published it. If someone in another zone publishes it next, its times move to theirs.
- Each email goes to each address on its own. People on To don't see each other.
Good to know
- The email is plain text. For an email from your own mailbox, or in a layout of your own, replace the last step with Outlook or Gmail. See Send an email with Outlook.
- It sends the sheet's rows from the top, up to Return at most. It doesn't pick out today's rows by itself, so keep the sheet to the rows you want in the email — for example a tab that holds only today's.
- An empty sheet still sends, saying it has 0 rows.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Steps marked Needs setup | The connection, spreadsheet, sheet or To isn't filled in yet | Open each one and fill it in. See Fix steps marked Needs setup. |
| The sheet Orders has no headings in its first row — add them, then choose its columns. | Row 1 of the sheet is empty | Add headings to the first row. |
| To is empty when the step ran — an earlier step may not have given the value it names. | To has no address | Type the addresses in To. |
| At most 10 people at a time — this had 14. | To has more than 10 addresses | Send to fewer people, or use a group address. |
